Spelling and Grammar
F7 runs spell check; red squiggles = spelling, blue = grammar, purple = style. Right-click a squiggle for suggestions.
Track Changes
Review → Track Changes records every edit as marked-up text. Others see insertions underlined and deletions struck through with the author name:
- Accept / Reject to apply or discard each change.
- Show Markup to filter comments, formatting or specific reviewers.
- Simple Markup keeps the document readable while preserving changes.
Comments
Select text → Review → New Comment to leave a note that does not alter the text. Resolve/delete comments as they are addressed.
Compare Documents
Review → Compare shows precisely what changed between two drafts - invaluable when a colleague edited a copy.
Exporting to PDF
File → Save As → PDF. Your heading styles become PDF bookmarks, tables survive, and fonts are embedded so the file looks identical anywhere.
Read Aloud
Review → Read Aloud lets Word read the document - a fast proofreading trick that catches awkward sentences.
Key Points
- Track Changes makes collaboration auditable - never edit someone else's final without it.
- Accept/reject consciously; Compare is the tool for mystery edits.
- PDF export carries structure (bookmarks) when you built heading styles.
